Agente Documental · In development

From the scanner stack to an organised archive, without splitting PDFs by hand

Agente Documental is a desktop app for accounting and professional firms. It watches the scanner folder, splits each stack into documents, proposes which client each one belongs to, what it is and its date, and leaves it filed and searchable. You confirm every step.

Why filing a month of paper eats days of work

What we have learned building Agente Documental alongside a working accounting firm.

A scan is not a document

Nobody scans sheet by sheet. A fifty-page stack goes into the feeder and out comes a single PDF with invoices, statements and tax forms from several clients mixed together. Splitting it by hand is the first hour lost every day.

The scanner does not know whose paper it is

The stack mixes clients, so someone has to read each document, find the tax ID and decide who it belongs to. A document in the wrong folder is worse than one not filed at all, because nobody looks for it there.

What cannot be found gets asked for again

If the archive depends on how each person named the file that day, finding an invoice from the third quarter means opening PDFs one by one. And in the end the client gets asked for it again.

What is missing turns up at quarter close

The statement that never arrived or the tax notice stuck inside a stack surface when there is no time left. The problem is not the document you have, it is the one you do not.

The accounting software is not going anywhere

It holds years of closed periods and a team that knows it by heart. Whatever helps has to sit in front of it, not ask you to replace it.

If this sounds like any Monday at your firm, we are building Agente Documental for you.

How it works

A chain of steps with stops. The machine proposes, you confirm, and nothing is filed without your sign-off.

  1. 1

    You scan as usual

The scanner drops the PDF into the usual folder, on the computer or on the NAS. If you slip a separator sheet between documents, the split comes out exact.

  2. 2

    You confirm the splits

You see the stack as thumbnails with the proposed splits, and move, add or remove a split with one click. No stack moves on without your confirmation.

  3. 3

You confirm whose it is and what it is

For each document it proposes the client from its tax ID, the type and the date, with the area of the page it read them from highlighted. If it is not sure, it does not guess, it asks you.

  4. 4

    It files itself

The document is stored in the cloud and appears in your NAS folder, organised by client, year and type. The original scan is kept whole.

  5. 5

You find it and use it

Search by client, type, date or any word in the document, and use it as you would in the file explorer, to drag it into an email, copy it or open it.

Three rules that are not up for negotiation

You confirm, the machine proposes

Agente Documental files nothing on its own. What does not add up is not assigned to a client, it goes to review.

No figure without a source

Every proposal shows the area of the page it comes from, so you can see why and correct it in a second if needed.

Not a single sheet gets lost

The original scan is not deleted or moved until the archive confirms it holds it intact, and it is kept for good. The data stays in the European Union.

It starts with one thing, on purpose

The first version solves the paper intake of a tax advisory firm, and does it well. The rest comes next, in the order the Early access firms ask for it.

What it does today

  • Paperwork for tax advisory firms
  • Scanner stacks, from a folder on the computer or the NAS
  • From the scan to a searchable archive
  • On Windows

What comes next

  • Reading the amounts on each invoice and checking they add up
  • Alerts for deadlines and for documents missing before close
  • The import file for your accounting software
  • Other inputs besides the scanner, such as email
  • Other sectors, such as payroll

What it will never do

  • Decide for you. The bookkeeping entry and the tax judgement are yours
  • Write into your accounting software's database
  • Assign a document to a client when it is not sure

Early access

We are opening Agente Documental to the first 20 firms before anyone else. It is a deal, and it runs both ways.

What you get

  • Access before anyone else, on your firm's real paperwork
  • 50% off for life, only for those first 20 firms
  • A direct line to the people building it. What breaks on a Monday gets looked at that same week

What we ask

  • Use it on real paperwork, not a demo
  • A short call every few weeks to tell us what is surplus and what is missing
  • Tell us plainly when something does not work for you

Get a free review of how paper comes into your firm

Tell us how documents reach you today, through which channels, how many a month and where they end up, and we send back in writing where your time goes and which part can be automated. It is useful even if you never end up using Agente Documental.
